A short introduction is enough to begin. Tell us which agency you represent and the task you want to discuss.

Use the appropriate channel.

For an emergency, call 911. This business contact does not accept public safety reports or investigative evidence and is not a dispatch service.

A useful first conversation.

Describe the current process and the part you want to examine. Useful starting questions include:

  • What information does the agency want to publish?
  • Who would review incoming observations?
  • Which tasks should a demonstration follow?
  • What records, access or operating requirements need review?

Keep the first message limited to what is needed for the inquiry. Do not include passwords, sign-in codes or sensitive case attachments.

Before we meet.

Start small enough to learn.

A focused evaluation can use fictional or otherwise approved information to follow an update through publication, resident viewing and a returned tip. Agree which staff will participate and which questions the exercise should answer. Record what was demonstrated and what remains unresolved.

A pilot discussion should also cover who maintains public updates, how incoming information is monitored and what residents will be told to expect. A feature demonstration is useful evidence, but an agency needs an operating process around it.

A department introduction can describe the current communication process, the intended audience and the requirement the team wants to examine. A resident inquiry can identify the platform and the availability or account question. These details are more useful at the start than sending a long account of an incident.

If a discussion needs an example, begin with fictional or otherwise approved material. A first conversation can establish the purpose, the appropriate participants and which supporting documents should be reviewed. There is no need to disclose confidential case information to arrange that conversation.

Response time is not guaranteed. For a time-sensitive public safety situation, use the responsible authority’s current instructions and emergency services when needed.
